OUR COMMITMENT TO YOU:
Desert Canyon Events, LLC will make every attempt to comply with requests for exhibit space locations on a “first come first serve basis." Location assignments will be made solely at the discretion of Desert Canyon Events, LLC staff with every effort to honor your requests. It is understood and agreed that the use of the exhibit space for any other purpose than set for shall be cause for termination of this agreement and give Desert Canyon Events, LLC the right to re-enter and repossess the exhibit space as designated in this agreement.
Desert Canyon Events, LLC makes no warranties, either expressed or implied, concerning the profitability of this show for the Exhibitor and/or the amount of shoppers expected to attend the show. Exhibitors understand and agree that in order to attract the public to the show there must be an appropriate assortment of exhibits of proper distribution within the show.
Desert Canyon Events, LLC reserves the right to restrict exhibits which, because of noise, method of operation, materials, or for any other reason become objectionable, and also to prohibit or remove any exhibit which, in the opinion of Desert Canyon Events, LLC, may detract from the general character of the Show as a whole, or consist of products or services inconsistent with the purpose of the Show. This reservation includes persons, things, conduct, printed material or anything of a character, which Desert Canyon Events, LLC determines objectionable. In the event of such restriction or removal, Desert Canyon Events, LLC shall not be liable for any refunds or other exhibit expenses.
Under no circumstance will Desert Canyon Events, LLC be responsible, or accept any liability for lost profits, lost wages, or expenses that may occur to any Exhibitor, employer or servant whatsoever. Anyone viewing, visiting or participating in the Exhibitors exhibit is deemed an invite of the Exhibitor, not an invite of Desert Canyon Events, LLC. Desert Canyon Events, LLC shall not be liable for any injury to anyone conducting, participating or viewing an Exhibitors display. The Exhibitor assumes full responsibility and liability for any and all actions of its agents, employees, independent contractors and agrees to save harmless Desert Canyon Events, LLC and the Exhibition Venue from any and all responsibility from any action whatsoever.
ALCOHOL: Will be available for purchase on premises with the coordination of event staff. NO outside alcohol will be accepted on site, for purposes of insurance and distribution. ZERO tolerance and you will be escorted out of event premises.
ANIMALS: There will be no live animals brought onto the festival grounds at any time with the exception of animals trained and used for medical reasons or law-enforcement (specifically service animals as defined in the Americans with Disabilities Act.
BOOTH SET - UP & TEAR DOWN: All vendors must have weights for any canopies in use, NO EXCEPTIONS. Please ensure that all corners of your canopy have weights of at least 50 lbs attached; there are NO stakes in the asphalt. If high winds develop, all vendors must take action to minimize damage and risk to attendees. Vendors agree to see that their booth is staffed with sufficient people during the scheduled hours of the festival. It is at vendors discretion should they decide to open early for spectators.
Vendor Hours are as follows:
Friday 9 am - 7 pm
Saturday 9 am - 7 pm
Sunday 9 am - 3 pm
Booth sharing is not allowed. All vendors need to purchase their own booth spaces and obtain their own business licenses. Vendors sharing booths will not be asked to participate in future festivals.
The use of any sound devices must be at conversational level not to interfere with neighboring vendors. Desert Canyon Events, LLC staff expects our vendors to be respectful of other vendors, volunteers, property employees, and dignitaries, as well as our citizens and guests enjoying the festival. Anyone behaving in a rude or unprofessional manner will not be asked to participate in future festivals.
Exhibitors shall not remove any goods or displays during the course of the Exhibition without the approval of Desert Canyon Events, LLC.
Set-Up begins on Wednesday, November 5th with SPECIAL ARRANGEMENTS ONLY! All other vendors can load in after 7 am on Thursday, November 6th. Please contact us at your earliest opportunity if special arrangements need to be made.
You may begin to tear down no sooner than 3pm on Sunday, November 9th. Participating vendors must be off the festival grounds by Noon on Monday, November 10th. Labor for set up and tear down is the responsibility of the vendor and is not provided by event staff. Those who do not comply with this policy will not be asked to participate in future festivals.
YOUR INFORMATION: All vendors must provide a phone number that will allow for 24 hour emergency contact. This may be a local number answered 24 hours a day, or a cell phone number that will be answered in the local area. Corporate and 800 numbers do not meet this requirement.
REQUIREMENTS – MANDATORY AND ENFORCED PRIOR TO THE EVENT
LIABILITY INSURANCE: Exhibitor agrees to indemnify and hold harmless Desert Canyon Events, LLC, it’s officers, agents, deputies, and employees from any and all claims, causes of action, and suits accruing or resulting from any damage, injury or loss to any person or persons, including all persons to whom may be liable. All exhibitors must secure a Certificate of Insurance, with Additional Insured as shown below:
The minimum limits are $1,000,000 General Aggregate Liability and $2,000,000 Per Occurrence with Desert Canyon Events, LLC listed as Additional Insured. The dates should read November 6th, 2025 - November 10th, 2025 which includes possible set up & tear down dates.

BULLHEAD CITY BUSINESS LICENSE: During the festival, each vendor must display either their current Bullhead City Business License or Temporary Special Event Business License in their booth space (Bullhead City will be on site during the event). If you hold a current Bullhead City Business License, great. If you do not, Desert Canyon events will process this on your behalf.
SALES TAX / TPT LICENSE (if applicable): all festival vendors are required to hold a current Arizona sales tax resale license. More information on the sales tax license can be found at http://www.az.gov or call 602–255–2060.
MOHAVE COUNTY HEALTH PERMIT (if applicable): all food vendors must be in possession of a current Mohave County Health permit. More information on county health permits can be found at http://www.co.mojave.az.US or call 928–757–0901.
The above requirements are your responsibility. Failure to comply with the above requirements will result in removal from the venue and no refund will be made if cited.
PARKING / ADMISSION: Each vendor will have open permissions for parking near event premises. Vendors will be allowed to drive in on the DAY of set up. Once set up is completed and thereafter, no vehicles in / out / or around event premises will be allowed. Please be sure to make necessary arrangements with regards to your stock, such as hand carts, etc. If assistance is needed, please find a staff member for assistance that may be available. There is no overnight parking permitted at the festival site. Overnight parking is permitted in designated RV Parks only with purchased space. The registered vendors shall receive the following for event access:

PAYMENT TERMS: To secure your vendor space for the Balloon Festival, full payment is required no later than 48 hours after the contract is signed. This prompt payment ensures your benefits and guarantees your inclusion in all promotional efforts, where applicable. Failure to complete the payment within this timeframe may result in forfeiture of your reserved space. We appreciate your timely cooperation.
POWER: SPECIAL REQUEST ONLY, additional fees will apply. Call Frank at 928-296-9191 for further discussion. Limited spaces available.
SECURITY: Will be on site 24 hours per day starting on Thursday, November 6th for the duration of the event until 3pm on Monday, November 10th at Noon.
TRASH: Each vendor is responsible for the removal and disposal of all materials. Desert Canyon Events staff will strategically place cans in all areas. If you feel there is a need for movement of these cans, please find an event staff member and bring it to their attention. All food vendors are responsible for their cleanup and leaving the festival grounds clean. Dumping of grease or charcoal and/or hot ashes in festival disposable containers or on the festival grounds is prohibited. Boxes must be broken down and all trash must be taken to the dumpsters located outside the vendor entrance. Removal of grease or any charcoal and or ashes from food vendor’s booth sites will be inspected before (and after).
ICE: Will be available on site for purchase. Find a staff member to request and the cost per bag is TBD. The ice will then be delivered to your booth space.
CANCELLATION OF SPACE: We understand that unforeseen circumstances may arise, and we strive to accommodate our vendors to the best of our ability. Please notify Frank immediately for any cancellations at 928-261-9191. These cancellations will be handled on a case by case basis. Such payments may be credited to another show. Desert Canyon Events, LLC assumes no responsibility whatsoever should a show be canceled, delayed or relocated as a result of any act of God, or a result of a strike, riot, civil disorder, etc. The Exhibitors shall be responsible for payment for exhibit space regardless.
IN CLOSING: Every term contained in this contract is severable from every other item. If any item should be judged unenforceable, it shall not affect the enforceability of other terms outlined in this contract. If legal action must be taken by Desert Canyon Events, LLC against an Exhibitor to enforce any provision of this contract, Exhibitor shall pay Desert Canyon Events, LLC reasonable attorneys fees, costs, plus simple interest at the rate of eighteen percent (18%) per year from the date of default until payment in addition to any other proceeds as granted by a court of law or an acceptable arbitration.
